The Role:

Rakuten Kobo Inc. is looking for a part time Office Manager to join our Administrative Support Team! The team is comprised of many highly talented enthusiastic individuals who ensure the services and offerings from Kobo are available to both internal and external customers.


Reporting to the Executive Assistant Team Lead, the Office Manager will provide general admin support to our Dublin office. You will organize and coordinate office policies and procedures, in order to ensure organizational effectiveness, efficiency and safety for the office.  In addition, you are responsible for developing intra-office communication protocols, streamlining administrative procedures and overall facilities management. To succeed, the ideal candidate will need to be an organized, energetic professional who can wear multiple hats independently with minimal direction.


This position will be 20 hours per week and may require you to be available for afternoon meetings with our Head Office in Toronto from time to time.


Candidates must be able to legally work in Ireland.


·       Provide overall administrative, clerical, and secretarial duties support to our Dublin Office. 
·       Management of all office facilities related tasks.
·       Point person for maintenance, mailing, shipping, supplies and equipment.
·       Manage and track all invoices from receipt of invoice to payment.
·       Work with Employee Experience team at Kobo HQ to execute Human Resource initiatives, assist with employee onboarding, and maintain office policies as necessary.
·       Work with IT team at Kobo HQ regarding IT related issues and / or equipment requests.
·       Liaise and organize all CSR initiatives with the support of Kobo HQ.
·       Manage relationships with vendors, service providers and contractors ensuring that all items are invoiced and paid on time.
·       Support senior leadership with contract and price negotiations with office vendors, service providers and office lease.
·       Liaise with IDA (Industrial Development Authority) to help with promoting our company name in Dublin.
·       Gather information and documentation for Dublin team grants.
·       Lead Dublin Social Committee and participate in team social events / activities to ensure maximum employee engagement, including partner visits, hosting of community events etc.

The Skillset:


·       Fluent in English

·       3 to 5 years’ experience as an office administrator, office assistant or relevant role

·       Excellent time management skills and ability to multi-task and prioritize work

·       Attention to detail and problem-solving skills

·       Excellent written and verbal communication skills

·       Strong organizational and planning skills

·       Proficient in MS Office

·       Knowledge of clerical practices and procedures
