The Role:

Rakuten Kobo Inc. is looking for a part time Office Manager to join our Administrative Support Team! The team is comprised of many highly talented enthusiastic individuals who ensure the services and offerings from Kobo are available to both internal and external customers.


Reporting to the Executive Assistant Team Lead, the Office Manager will provide general admin support to our Darmstadt office, to our Kobo Tolino team. You will organize and coordinate office policies and procedures, in order to ensure organizational effectiveness, efficiency and safety for the office.  In addition, you are responsible for developing intra-office communication protocols, streamlining administrative procedures and overall facilities management. To succeed, the ideal candidate will need to be an organized, energetic professional who can wear multiple hats independently with minimal direction.


This position will be 20 hours per week and involve working 2:00pm – 6:00pm CET a minimum of 2 days a week to work closely with our Headquarters in Toronto, Canada.


Candidates must be able to legally work in Germany and be able to communicate in both English and basic German.




  • Provide overall administrative, clerical, and secretarial duties to support to our Darmstadt Office.

  • Management of all office facilities related tasks.

  • Point person for maintenance, mailing, shipping, supplies and equipment.

  • Manage and track all invoices from receipt of invoice to payment.

  • Work with the Employee Experience team at Kobo HQ to execute Human Resource initiatives and to maintain office policies as necessary.

  • Liaise with IT team at Kobo HQ regarding IT related issues and / or equipment requests.

  • Manage relationships with vendors, service providers and contractors.

  • Support senior leadership with preparation and coordination for internal and external meetings.

  • Support coordination for internal and external events, including partner visits, hosting of community events, company kick-offs etc.

  • Provide on-site assistance to Kobo HQ Employee Experience team with onboarding of new employees.

  • Maintain a safe and secure working environment by supporting the Health and Safety Committee with all policies and procedures and the implementation of them.

  • Liaise and organize all Corporate Social Responsibility initiatives with the support of Kobo HQ. 


The Skillset:


  • Can communicate in German and English

  • 3 to 5 years’ experience as an office administrator, office assistant or relevant role

  • Excellent time management skills and ability to multi-task and prioritize work

  • Attention to detail and problem-solving skills

  • Excellent written and verbal communication skills

  • Strong organizational and planning skills

  • Proficient in MS Office

  • Knowledge of clerical practices and procedures

Nice to haves:

  • Knowledge of human resources practices and procedures
