We are in search of a Head of Facilities who will be part of Rakuten’s Americas Regional HQ organization. The role will support locations all over the US, and, lend expertise to other global locations on an as needed basis. Right candidate will be able to transition between roles of Leader, Manager and Individual contributor based on objectives, and audience.


This role will be based out of our San Mateo Campus location, and, will support numerous offices including offices in San Francisco, Boston, New York, Tampa, and Salt Lake City as needed. 


We seek an individual who strives to delight internal customers by achieving balance of vision, design thinking, aesthetic sensibilities with ground realism of limited budgets, aggressive timelines and competing priorities


Responsibilities:

  • Ensures staff competency through adequate training for skill development.
  • Manages space utilization data and planning for organizational growth projections, capital project prioritization, and design facilitation.
  • Establish and maintain relationships with Rakuten partners within the facilities such as the café, and other service relationships pertaining to Facilities.
  • Work effectively with executives and other key stakeholders to drive process improvements
  • Acts as program manager for all facilities and construction projects assigned to the Facilities teams.
  • Own Multi-stakeholder negotiations (understanding of negotiating methodologies such as 3D negotiation, and demonstrated application)
  • Have the Ability to grasp, and communicate complex ideas in simple manner
  • Robust experience in articulating options as well as recommendations using visual communication and quantitative data.
  • Able to show the right ‘view’ of information, depending on audience
  • Lead and/or partner with other functions to execute events, and enterprise scale projects
  • Define policies relevant to facilities (ex. hot desking, physical security related) and able to articulate tradeoffs associated with various policy implementations
  • Partner with business units to create, refine and execute short and long-term real estate strategy and master planning, location planning, and allocation and utilization of space and resources.
  • Lead a dispersed regional team overseeing employee Workplace Services and general facilities operations
  • Grasp concept of personae, and experience working with personae relevant to technology sector
  • Provide strategic perspective (Campus master plan, long term leasing strategy) with tactical execution (new office layout)
  • Manage dynamics of large, fast-moving, global corporation (trans-cultural EQ, two-plus level matrix organizations)
  • Manage the build-out and administration of the Company’s Campus in San Mateo as well as other Rakuten Group’s offices
  • Establish and Manage a space-planning process with plans to address various time horizons
  • Maintain and strategize leases of Rakuten Group’s offices in Americas in collaboration with Rakuten Headquarter Facilities Team in Tokyo and each Group Companies
  • Define Rakuten Group internal regulations for facilities
  • Take full ownership of property and services operations, cosmetic appearance (internal and external), technical oversight and fiscal management
  • Lead operations, maintenance and vendor management in a cost effective and efficient manner
  • Develop, implement and monitor emergency procedures, ensuring disaster recovery and safety plans are in place and ensures compliance
  • Ensure inspections are conducted to verify the facility is in safe operating condition and corrects any issues that are found
Qualifications:
  • Minimum 10 years of experience in facilities management and office services
  • Experience managing a team of office staff, including remote employees
  • Experience in management of office/facility build-out projects, office renovations and new office set-up required
  • Experience managing and negotiating with vendors
  • Experience overseeing multiple locations
  • Experience with AutoCAD preferred
  • CFM, CPM, PPI desirable
