Global Payroll & Benefits Coordinator (18-24 month contract)

The Role:

 

Rakuten Kobo Inc. is looking for a Global Payroll & Benefits Coordinator to join our Employee Experience team in our Liberty Village office in Toronto.

 

Reporting to the Senior Manager, Global Total Rewards, you will provide support inputting global payroll & benefits changes, assisting employees with queries, as well as HR reporting across our fast-paced global organization.

Here’s what we are looking for:

 

Knowledgeable: You have 1-3 years payroll and benefits administration experience and are familiar with payroll systems. You are customer focused, have a sense of urgency and a drive to go above and beyond every day.

 

Fast Learner:  You are adaptable, can pick up new systems quickly and are passionate about personal growth and development.

 

Organized: You are impeccably organized and constantly re-assess priorities to ensure you meet all deadlines and ensure absolute confidentiality of data.

Responsibilities:

·       Process payroll transactions semi-monthly and monthly for salaried employees globally (Canada, USA, Brazil, and various European countries)

·       Prepare and submit payroll to external companies (Ceridian Dayforce, ADP RUN, ADP SPM)

·       Verify payroll data for accuracy and compliance

·       Respond to employee, manager and third-party payroll and benefit inquiries

·       Foster strong relationships with payroll providers; serve as contact for technical issues related to payroll processing

·       Process & maintain group benefits plan changes (enrolment, terminations, amendments)

·       Calculate monthly EHT and WSIB premiums

·       Responsible for year-end global payroll tasks (including tax forms, annual reconciliations, returns, etc.)

·       Reconcile and process Benefits Plan monthly billing

·       Preparation of payroll reports and files for month-end accounting close for Finance team

·       Assist in implementation of new country payrolls when applicable

·       Track & calculate bonus pro-rations for leaves of absences & promotional changes

·       Process expatriate payroll changes and annual tax returns with tax provider & Rakuten Global Mobility team

·       Assist employees joining voluntary retirement programs globally & update payroll contributions

·       Prepare monthly and quarterly reports for finance and on an ad hoc basis

·       Stock Option Administration, including processing exercise and sale of shares

 

As the Global Payroll & Benefits Coordinator, you will have the following:

·       Post-Secondary education in finance, payroll, HR or a related field of study, or equivalent level of education and experience

·       PCP designation complete, or in progress, would be a very strong asset

·       1-3 years’ experience in a Canada payroll capacity (Global Payroll and Human Resources experience is an asset)

·       Strong interpersonal skills; a customer service approach with ability to engage with employees at all levels

·       Self-starter who is eager to take on new responsibilities and grow in a fast-paced environment

·       Experience with payroll & HRIS required, Ceridian Dayforce and Workday experience an asset

·       Solid hands on experience with Excel to reconcile and analyze payroll variances/discrepancies

·       Exceptional communication skills (written and verbal)
